Job Description: Front Office Executive

Main Accountabilities:
  • Always wear smart official attire to represent the company at the reception.
  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Answering telephones, directing, screening calls, taking and relaying messages.
  • Providing information to callers, greeting persons entering organization and directing them appropriately.
  • Maintains security by following procedures; monitoring logbook; issuing visitor badges.
  • Maintains telecommunication system by ensuring proper operation of the switchboard.
  • Maintains a safe and clean reception area by complying with procedures, rules, and regulations.
  • Receives, sorts and distributes mail and deliveries.
  • Keep the reception manned at all times and ensure backup when absent from the reception desk.
  • Take and deliver messages accurately and completely.
  • Provide general administrative and clerical support.
  • Contributes to team effort by accomplishing related results as needed.
  • Assist Helpdesk via the switchboard.
  • Organize couriers and records for all couriers via stores on daily basis.
  • Maintaining logs of the drivers and riders.
  • Maintain & recording all documents delivered and the acknowledged receipts.
  • To maintain daily call logs.
  • Any other duty assigned.
Role related Qualifications/Skills:
  • Diploma in Customer Service/ Front Office or Receptionist Techniques, or other related course.
  • Customer service principles and practices
  • Knowledge of administrative and clerical procedures
  • Ability to work a switchboard
