Position: Office Manager
 
Reporting to: Program Coordinator & Principal Investigator
 
Location: Kisumu 

The University of Washington Global Assistant Program - Kenya would like to hire for this position to work in its DREAMS PRIYA project based in Kisumu. 


DREAMS is an ambitious partnership to reduce HIV infections amongst adolescent girls and young women in sub-Saharan African countries. The program is about multiple solutions surrounding one problem. 

With the support of its major funders, DREAMS is delivering a core package that combines evidence-based approaches that go beyond the health sector, addressing the structural drivers that directly and indirectly increase girls’ HIV risk, including poverty, gender inequality, sexual violence and lack of education.

The Office Manager’s primary responsibility is to provide active support services to staff in Kisumu on office administration and field logistical support. 

The position will be the go-to who will provide support for daily procedures and bring exceptional service to colleagues and clients who visit the field office.

Duties and responsibilities
  • Preparing daily clinic activity reports
  • Developing an integrated communications strategy for the Program specifically through email communication.
  • Collating and analyzing current communications and messages and ensuring consistency.
  • Developing and leading the Program's internal communication.
  • Facilitating Program administration issues in Kisumu:
  1. General office filing and management
  2. Dispatch of supplies to facilities i.e. stationeries and program tools
  3. Obtaining quotations from vendors to facilitate procurement process for the program
Skills set:
  • Excellent communication (oral and written) and presentation skills
  • Proficient command of English
  • Must be a confident communicator and presenter
  • Strong writing and editing, including ability to present concepts verbally
  • Self-motivated with a positive and professional approach to management
  • Must possess excellent organizational and planning skills
Essential requirements
  • Must have a bachelor degree in Bachelor of Arts in Sociology, Public Relations or Communication.
  • Proficient in writing ad generation of meeting reports
  • Team player with ability to work closely with other study staff
  • Language skills: fluency in English and Kiswahili and/or Luo
  • Excellent communication skills: Must be able to communicate regularly with the Program team via email and Skype
  • At least 3 years’ experience working in a similar capacity required, ideally in the NGO and HIV medical research sector
