Job Title: Office Assistant

Reports to:
Chief Innovation Officer
Department: Programs
Business Purpose / Objective: This role works to assist in the day to day running of our office in Nairobi.  

The office assistant plays a critical role in establishing and maintaining the office infrastructure and processes for Jacaranda Health’s Solutions Limited office in Jacaranda Gardens, Kahawa West, and ensuring that it runs effectively and efficiently.
Duties and Responsibilities
  • Serve as receptionist in our Jacaranda Gardens office, managing hospitality and greeting guests and facilitating meetings
  • Create and maintain all documents and records related to office operations
  • Purchase and Keep the office stocked with supplies and general equipment
  • Ensure office equipment and infrastructure is serviced & maintained as needed
  • Monitor the utilization of office petty cash and recourses followed by periodic reconciliation
  • Assist with processing of financial procedures such as Fund requests, Cash control, expenses and payment of utility bills.
  • Provide general administrative support to Jacaranda’s management team, including and not limited to transportation, travel and coordinating meetings and special events
  • Maintain and uphold high standards of cleanliness of the office to foster proper working environment.
  • Co ordinate the provision of tea/coffee to the office staff and visitors
  • Work closely with clinic administrative staff (e.g. receptionists and cashiers) to ensure smooth and integrated administrative relations between the office and the clinic sites.
  • Liaise with other contacts and partners as required and maintain contacts list
  • Translate basic items from Swahili  into English and vice versa
  • Other office related duties as required
Education: Diploma in a business related field preferred
  • 2-5 years of experience in office administrative support, preferably in a fast-paced, growing organization
  • Customer care skills
Knowledge and Skills Requirements
  • Strong working knowledge of Google products and of Microsoft Excel and Word
  • Fluency in English and Swahili
  • Knowledge of local vendors and where to source products and services
  • Ability to maintain a high level of accuracy in preparing and entering information
  • Excellent time management, organizational, and prioritization skills
  • Clear communication skills
  • Independent, self-starter capable of working well with a team, multi-tasking effectively and managing a variety of responsibilities typical in a start-up environment

Key competencies: The holder of this position should be intelligent, confidential, proactive, and organized person who can juggle daily duties and routine with special assignments.
