Job Vacancy: Warehouse and Inventory Officer
Main responsibilities:
The key responsibilities of the warehouse and inventory officer will be to monitor and report on the Organization’s inventory. Your job is important since the efficient handling of the organization’s products is crucial to the attainment of our business goals.
Overall, the individual should be a reliable trustworthy professional with excellent record-keeping abilities. 

They should also possess great attention to detail and a keenness to implementation of set procedures and processes on Inventory management that contribute to ensuring inventory transactions accuracy.

Reporting lines: The Warehousing and Inventory officer reports to the Operations Manager.
He/She belongs to the larger Operations team and will be expected to work well within the team.
He/she will supervise assistants allocated to him in the course of their work to assist in the reporting of receipts and issues, loading and offloading and general data assistants allocated to the role at any given time.

Key Performance Indicators are:
  • Inventory Accuracy.
  • Inventory safety and Loss minimization.
  • Record keeping and reporting
  • Stock Quality and Control.
Responsibilities and tasks
1.1  Receiving goods delivered to the warehouse  and other Agrics storage facilities for storage.
  • The officer is to facilitate and supervise off-loading of delivered products from the delivery trucks and check to ensure that they match with the delivery documents such as the bill of lading, shipping invoice or delivery note. The Officer is to also verify that the goods are intact and report any defects.
  • The officer is to also receive and maintain proper records and receipts for returned products from the field. While making sure to inspect the products returned for defects, report, and record on the reasons for the Return.
  • The officer is charged with coordinating and facilitating any inventory transfers or interchanges in the field and maintain proper records for related transactions.
  • The officer is also charged with the responsibility of maintaining the storage area by organizing floor space; labelling various sections while adhering to best practice storage design principles and recommending improvements.
  • Maintains inventory by conducting monthly physical counts; reconciling variances; inputting data.
  • Secures warehouse by ensuring security systems and protocols are in place.
  • Keeps the warehouse equipment operating by enforcing operating instructions; troubleshooting breakdowns; requiring preventive maintenance; calling for repairs.
  • To effectively control product losses through damages, wastages occurring during storage and handling and inaccurate issuance during distribution.
  • To ensure stocking and loading of products according to FIFO rules.
1.2 Supervise and Manage offloading and loading
  • Oversees the receipt and dispersal of products entering or leaving the warehouse.
  • Determines temporary staffing levels for off-loading and loading casuals and assigns workload.
  • The officer is  charged with the task of supervising and overseeing Off-loading/receiving casuals while monitoring, reporting on expenditure related to activities undertaken by the casuals
  • They are also charged with the task of supervising and overseeing loading casuals during distribution while monitoring, reporting on expenditure related to activities undertaken by the casuals.
1.3 Proper Documentation:
  • Meets warehouse operational standards by tracking and entering all stock movement, recording and maintaining in a database that captures all warehouse information.
  • Prepares and Maintains accurate records and Files on receiving, processing and distribution of all products.
  • Check documents for thoroughness and completeness and prepares additional documentation when necessary.
  • The officer is charged with taking periodic inventories and participating in monthly inventory program.
  • Maintain records of repackaged stock, damaged stock and disposal of defective goods.
  • Ensures Per Transaction recording on the product stock cards.
1.4 Customer Satisfaction.
  • Meets customer satisfaction needs by maintaining product quality, resolving problems and identifying warehouse system improvements.
  • Ensures Quality of issued inputs by collaborating with the research team to undertake Germination testing for seed products before issue.
  • Achieve high levels of customer satisfaction through excellence in receiving, identifying, dispatching of goods.
  • Assure that problems are resolved immediately and effectively so we can keep our promises or find alternative solutions to deliver or fix the errors within satisfaction of all the parties involved
1.5 Distribution.
  • Maintains a high level of accuracy in product issuing and loading on Distribution trucks during distribution.
  • Work with the Operations Manager in maintaining and ensuring an efficient management of loading trucks and general transportation to ensure smooth & timely supply of products across the locations in coordination with the distribution team.
  • Maintains distribution processes and protocols by enforcing operational and personnel policies and procedures. 
  • Planning and managing operations for the Warehouse function in order to ensure the smooth running of the exercise in terms of timeliness, accuracy and efficiency.
Other Roles:
  • Confer and coordinate activities with other departments
  • Interface with other departments and officers to answer questions or solve problems
  • Identify areas of improvement and establish innovative or adjust existing work procedures and practices.
Skills Required:
  • Interpersonal and Communication Skills: They will need to speak with colleagues, temporary staff and other stakeholders on a regular basis.
  • Supervisory and Leadership Skills: They will need to oversee a number of temporary staff and they will need resolve conflicts, as well as keep employees motivated and on-task.
  • Critical-Thinking Skills: This is a demanding role requiring a levelheaded individual who can think on their feet.
  • Organizational Skills and Time management skills: The role involves moving pieces, which need to work together concurrently at times to accomplish our Organizational goals in time to be able to meet client needs at the expected timelines.
  • Problem-Solving Skills: They will need to be ready when problems arise, or be ready to anticipate problems before they happen.
Other Requirements:
  • The Individual should have at least 2yrs experience in fast-paced environment.
  • The Individual should have a Degree or any relevant education background in logistics and supply chain management.
  • Knowledge of warehouse software packages and MS Office proficiency
  • Ability to input, retrieve and analyze data
  • Hands-on commitment to getting the job done
  • Proven ability to direct and coordinate operations
